Executive Assistant
Job Description

Our client is seeking a proactive and detail-oriented Executive Administrative Assistant on a direct hire basis to provide crucial support to our Senior Leadership Team. This role offers a unique opportunity to be at the heart of our organization's operations, contributing to the team. This position is 5 days a week onsite in KOP, PA area.

Key Responsibilities:
• Documentation management, typing, editing, and composing correspondence, schedules, spreadsheets, and forms for our Senior Leaders.
• Prepare documents for our Leaders to present or distribute to the Board of Directors, including financial statement packages, schedules, and annual budget reports.
• Keep our databases up-to-date and generate communication.
• Prepare and maintain confirmation letters, correspondence, and mailing lists for external auditing groups.
• Coordinate the writing and maintenance of department policies and procedures, ensuring compliance with regulatory agencies.
• Process and track all requests for application, RFP, and contract submission, ensuring timely completion and proper documentation.
• File and maintain banking correspondence, including bank statements and payments.
• Supply Management: ordering office supplies, tracking deliveries, and managing inventory.
• Coordinate meeting logistics, including scheduling, room booking, and agenda preparation.
• Review and submit invoices for approval, ensuring accuracy and timely processing.
• Miscellaneous Support: Assist with various tasks such as order management, credit card.
